Job Summary
At Life-NWPA, our Medical Records Scheduler is responsible for ensuring the smooth scheduling and coordination of healthcare appointments and procedures for participants. The role requires excellent organizational and communication skills with a strong understanding of medical terminology and participant confidentiality.
Schedule
Standard operating hours are 8:00 am – 4:30 pm; Monday-Friday. Please note work hours may fluctuate depending on the Participant and business needs, flexibility is required.
Hourly Wage
$16.50 /hr. to start - $17.50 /hr. after 90 Days
Duties/Responsibilities
- Monitoring portal requests for appointments requests.
- Notifies participants, caregivers, POA of scheduled appointments.
- Completes authorizations as requested.
- Coordinates scheduling and re-scheduling of appointments as required.
- Enters encounters for outside appointments including and not limited to imaging and outside labs.
- Faxes all required information for referrals.
- Completes weekly and addresses outliers on Pend Report and routes completed report to appropriate individual.
- Reviews and routes Invoices/bills for payment to appropriate department
- Answer phone calls and respond to participants and referral sources inquiries regarding scheduling and appointments.
- Manage and prioritize multiple schedules simultaneously.
- Communicate with healthcare providers and staff regarding scheduling updates and changes.
- Provides excellence in customer service.
- Maintain a good working relationship within department and other departments.
- Attends required meetings.
- Adheres to LIFE NWPA policy, procedures, and standards.
- Completes audits as requested.
Required Skills/Abilities
- Relates well with people of all ages but has a deep sensitivity and commitment to the elderly

- Knowledge and understanding of medical terminology.

- Must possess the ability to make independent decisions when circumstances warrant such action
- Must be able to deal tactfully and patiently with personnel, Participants, family members, visitors, government agencies/personnel, and the public.
- Must have the cognitive ability to process and perform tasks for Participant safety.
- CPR and First Aid Certification.
- Must be a minimum of 18 years of age
Education And Experience
- High School Diploma or GED
- Medical record or coding education preferred.
- One Year experience in medical records management, coding, or scheduling preferred.
- One year of experience working with the frail and elderly population or willing to complete Company paid training to meet this requirement.
- Must possess a valid PA driver’s license, vehicle, and clean driving record
- Good interpersonal skills and the ability to work with geriatric patients and handle unusual interpersonal situations

- Successful completion of background check, physical, drug screening, TB Screening
Physical Requirements
- Must be able to move intermittently throughout the workday
- Must be able to lift, push, pull, and move a minimum of 25 pounds
- Must be able to assist with the evacuation of Participants
- This position may encounter issues/infestations in the homes of the Participants. Following proper protocols is essential.

Employment Requirements: Successful completion of Criminal History Check, Child Abuse Clearance, Office of Inspector General check, and FBI Fingerprinting for Child Protective Services Law (at employer’s expense). Successful completion of post-offer employment drug screening and physical (at employer’s expense). CPR and First Aid Certification, or willing to obtain at employer’s expense. Individuals must have one year of prior experience caring for the frail elderly or willing to complete Company paid training to meet this requirement.
