Health Information Management (HIM) Technician I
***Requires North Carolina residence and hybrid work onsite/in office **
General Description
Performs specialized health information activities to organize, maintain, and use electronic patient health records. Positions at this level have high customer service, strong analytic and problem-solving skills, and require interpretation and explanation of policy and internal requirements related to health record documentation and completion, Medical Staff Bylaws, Rules and Regulations, and organization-wide functions and policies and procedures. Specific job responsibilities are based on the service unit within Health Information Management assigned and include: Performs HIPAA compliant screening of incoming requests for protected health information of our patients, distribution of medical records, deficiency management to assure compliance with federal and state regulatory and accrediting body requirements for health record content and timely completion and document management to include the capture of health records in an electronic format. Excellent computer skills are required to complete basic to intermediate tasks within Maestro Care, Solarity, Hyland OnBase, and other related applications.
Duties And Responsibilities
Release of Information Functions:
Performs preliminary screening of authorizations (pursuant to State and Federal Privacy Laws), enters requests for information into Maestro Care Release of Information Module, and returns to the requestor with an explanation is invalid.
Performs final review of selected records to verify the correct patient on each page/image of records prepared for disclosure and packages requested records for delivery through paper print, CD or flash drive. Assures all attached documentation is specific to the intended recipient and recipient. Validates encryption of all electronic media delivery methods. Document tracking information for all shipments within the release to permit reconciliation of shipped and received packages.
Serves as front-line support through receipt of telephone calls from third-party requestors and patients related to non-receipt escalation, privacy incidents, and problem solving related to medical record requests.
Provide an initial documentation entry within the ROI Complaint log to facilitate the problem resolution through the direction of ROI Leadership and/or compliance. Assists requestors in understanding the requirements for submission of a HIPAA-compliant authorization, provides an explanation for canceled requests, and responds to general inquiries about obtaining medical records, navigation of MyChart, and basic Care Everywhere inquiries. It requires high communication and customer service skills to appropriately assess and respond to customers while de-escalating issues when necessary.
Manage tasks associated with the HIM ROI Customer Service Office, including greeting visitors, providing guidance for requesting medical records, completing the authorization for disclosure, verifying patient t/personal representative authority/identify, and facilitating same-day customer service by coordinating with the ROI team.

Education
High school or GED diploma required
Experience
2 years of experience in Health Information Management, Document Management, or healthcare-related fields Field required Associates / Bachelors Degree in Healthcare, Business, IT, or Related Field can substitute for 2 years' experience Associates Degree in HIT preferred
