Core Schedule:Monday – Friday 8:30am – 5:00pm; may include weekends or additional hours as necessary; varies depending on needs of the department.
Role Summary: Schedule medical appointments for Boys & Girls Haven (BGH) clients. Assists BGH personnel with the coordination of medical services for clients. Transports clients to hospitals, physicians’ offices, off-campus schools, or other sites as necessary. Provides clerical and administrative support for clinical services. May provide assistance with routine and emergency medical and psychiatric care for youth. Under direction of Health Services Manager, may be asked to supervise delivery of medical services, assist with training agency staff, and provide medical consultation as necessary. Responsibilities will be accomplished under the direction of the Health Services Manager and within the framework of the purposes, policies and procedures of BGH.
Essential Functions:
- Medical – Ensure health-related appointments are made and kept. Note appointments in clients’ EHR charts in accordance with licensing and BGH standards. Obtain information, including prescription information, and instructions from providers and ensure all relevant information is communicated to BGH staff members. Keep inventory for and order medications in a timely manner as instructed by the psychiatrist and/or physician. Follow emergency and routine medical procedures as needed. Assist with staff in-service medication training, if necessary. May be asked to assist with facilitation of psychiatric appointments on campus. Assisting with initial health screenings, intake nursing/medical assessments, intake medication documentation, and pharmacy coordination. Weekly medication auditing, and ensuring documentation of Medication Administration Records (MARs) is completed
- Administrative – Manage and update resident “blue” folders, including monthly MAR’s. File clinical/medical forms from med box for both Dempsey & Wachtel Cottages in Extended Reach (EHR system). Maintain adequate medical supplies and replenish as needed. Actively manage appointment calendar for residential and Pre-IL clients; report future appointments and/or changes to current calendar in a time manner.
- Transporting – Transport clients to health-related appointments. Transport clients to court, off-campus schools, or other relevant destinations as determined by their treatment teams, if deemed necessary.
- Safe Crisis Management – Understand Safe Crisis Management (SCM) techniques. Learn and be able to demonstrate verbal de-escalation, escape and safety techniques. Refrain from coercive or inappropriate use of SCM. Keep up with certification requirements
- Operation of BGH Vehicles – Ensure safe operation of BGH vehicles and report any issues to appropriate staff members. Maintain positive driving record as well as valid driver’s license and active auto insurance policy
- Treatment – Respond to clients’ needs with fairness, objectivity, firmness, care, and concern. Observe the behavior and emotional climate of each individual client and respond appropriately. Act as a positive role model and leader for the clients. Maintain confidentiality of all client information. Participation in Residential and/or Pre-IL treatment teams, if necessary
- Documentation – Keep accurate records. Document (via BGH electronic records system) clients’ progress, issues, and any incidents on a daily basis. Enter work time and breaks daily in the agency’s payroll system. File incident reports (use of SCM and all incidents of a serious or critical nature) per agency policy
- Professional Development – Attend staff meetings, trainings, SCM reviews, and staff development opportunities. Report on time for all assigned shifts
- Other duties as assigned

Qualifications:
- Educational – BS/BA in Human Services field preferred. High school diploma/GED required. Certified Medical Technician (CMT) certification required.
- Relevant Experience/Credentials – Six months work experience with at-risk adolescents in a residential treatment program or similar program. One year or more experience is preferred
- Other - Personal capability to work in a team model. Strong work ethic to work as a result-oriented, independent contributor. Must have experience working with Microsoft Office suite and be able to effectively utilize agency computer system(s). Must be at least 21 years of age and legally able to work in U.S. Valid driver’s license and insurability by BGH’s insurance carrier required. Successful completion of background screening and pre-employment drug screen. Successful negative, post-offer and annual TB screening
Physical Demands - While performing the duties of this job, the employee is regularly required to sit, use hands to manually manipulate, handle or feel objects, tools, or controls, reach with hands and arms, talk and hear. The employee is required to walk or stand. Must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to read, write and converse in English. Ability to respond to auditory stimulation and communicate via telephone.
Work Environment - The noise level in the work environment is usually moderate. At times, this level may be increased. The work environment is fast-paced and active. The employee may engage in multiple activities during a given shift. Employees work with children and youth who may exhibit challenging behaviors. As a result, employees may experience verbal aggression, physical aggression and may be at high risk of injury in the work environment, including but not limited to receiving: bites, cuts, kicks, punches, being spit on and the like.
