Job Description
The HIM Specialist provides medical records office support, manages a complete patient record for each provider, obtains records from outside facilities and provider offices, and monitors and distributes inbound documentation, whether electronic or paper.
Essential Functions
- Follows policy and procedures outlined by management to ensure standardization of HIM processes across all clinics
- Maintains and ensures the confidentiality of patient information
- Prepares patient charts for the provider visits
- Obtains necessary records before the patient's appointment
- Electronically scans/imports appropriate patient-related records into the electronic health record (EHR)
- Collects paper documents for processing and scanning throughout the clinic and providers' offices
- Follows process for medical records requests for continuity of care
- Monitors and routes inbound and outbound faxes
- Helps with communicating information regarding the Patient Engagement Portal
- Demonstrates excellent customer service
- Responds promptly to patient, physician, and clinical staff requests using preferred communications methods
- Reviews daily reports:
- to ensure we have the most accurate patient records
- for external follow-ups
- maintain failed outbound faxes for completion and correct fax numbers
- Ability to travel/float to other clinics as needed, on occasion
- Other duties as assigned
EDUCATION AND EXPERIENCE: (Knowledge, Skills & Abilities)
- High school graduate or equivalent with GED
- Medical records experience is strongly preferred
- Two years of professional office experience preferred
- Strong computer skills
- Excellent communication skills
- Ability to work productively and effectively in a fast-paced environment
- Strong organizational skills and attention to detail
- Excellent customer service skills
Physical Requirements
- Able to travel to satellite clinics when necessary
- Able to lift 25 pounds
